The 90-Day Candidate Re-engagement Playbook

Every recruitment firm sits on an underused asset. The candidates you interviewed last quarter but did not place. The silver medallists who lost out by half a point in the final round. In practice they drift — and six months later you are sourcing from scratch for the same role profile.

We looked at the top-decile firms in our customer base — the ones who close 30% more mandates per recruiter than the median — and found one habit that showed up consistently: a disciplined, 90-day candidate re-engagement cadence tied to TalentVault. Why re-engagement is such a leverage point

Day 60 — Market signal update

This is the only touch that is content-marketing shaped, and it reactivates the candidates who are passive-but-interested.

Day 90 — Prune and refresh

Any candidate who has not responded to three outreach attempts in 90 days gets archived from the active vault list. Not deleted — archived. Keeps your working set small and your fit scores calibrated to currently-responsive people.

Mistakes the firms warn against

Mistake 1 — Bulk mail-merge campaigns. Candidates can smell them. Personalisation beats volume every time; the top firms set a cap of 30 personalised touches per recruiter per week.

Mistake 2 — Pitching every candidate every role. The silver medallist for a VP of Engineering role is not interested in an entry-level backend role. Filter by role-level fit before you touch.

Mistake 3 — Treating the vault as a once-a-year clean-up project. The whole point of the cadence is weekly discipline. One deep clean a year does not compound.
